As a receptionist at a fast-paced CPA firm, your primary responsibility is to ensure seamless front-office operations while delivering a professional and welcoming experience to clients and visitors. You serve as a key support resource for the administrative team, staff, managers, and firm owners, contributing to the daily efficiency and organization of the office.
Job Responsibility:
Greet clients and visitors warmly, in person or over the phone
Answer incoming calls, direct them to the appropriate staff, or take messages
Schedule appointments and manage calendars for accountants and partners
Ensure the conference rooms, reception and common areas are tidy
Uphold strict confidentiality standards when handling sensitive financial and personal information
Perform a variety of general administrative duties, such as handling incoming and outgoing mail
Accept client deliverables and manage client pickup bin and log
Other duties as assigned
Requirements:
High school diploma
2+ years' office, administrative or clerical experience required
Fluent English
Ability to lift 20 pounds
Proficient in Microsoft Office, Outlook email and calendars
Experience with multi-line phone system
Excellent organizational skills with attention to detail and ability to prioritize tasks
Deliver exceptional internal and external customer service in a fast-paced environment
Excellent time management skills, the ability to multi-task
Effective interpersonal skills with solid written and verbal communication
Quick learner, motivated, and adaptable
Courteous, punctual, reliable and able to work independently
Pass background and reference check
