Job Description

We are looking for a detail-oriented Part Time Development Administrative Assistant to join our team in Newport, Rhode Island. This is a Long-term Contract position offering an opportunity to contribute to the success of fundraising initiatives and donor management processes. The ideal candidate will play a pivotal role in ensuring smooth administrative operations within the advancement department.

Job Responsibility

  • Draft and prepare donor acknowledgments, appeal letters, and various development-related communications
  • Update and maintain accurate donor records and databases to support fundraising efforts
  • Provide direct administrative assistance to the Director of Advancement, ensuring efficient office operations
  • Coordinate logistics for the Summer Art Party fundraising event, including managing RSVPs, seating arrangements, and other event details
  • Oversee membership processing, handle renewals, and respond to inquiries from members
  • Contribute to development communications and perform basic data analysis to assist in strategic decision-making

Requirements

  • Proven experience in administrative support roles, preferably within development or fundraising
  • Proficiency in data entry and database management with attention to detail
  • Strong organizational skills and the ability to manage multiple tasks simultaneously
  • Excellent written and verbal communication skills to create and edit clear and precise correspondence
  • Customer service experience, with a focus on handling inquiries and building positive relationships
  • Ability to work independently while collaborating effectively with team members

Nice to have

Familiarity with event planning and coordination is a plus
