We are looking for a Part Time Administrative Assistant to support daily office operations in Rochester, New York. This is a Contract position suited for someone who is organized, responsive, and comfortable handling a variety of administrative tasks in a detail-focused setting. The ideal candidate will help keep workflows on track, provide courteous front-line communication support, and assist with routine documentation and coordination.
Job Responsibility
Manage day-to-day administrative support activities to help maintain an efficient office environment
Respond to incoming calls courteously, direct inquiries appropriately, and relay accurate messages when needed
Prepare, organize, and update documents, records, and general office information with strong attention to detail
Assist with data entry and maintain accurate information across administrative files and tracking tools
Coordinate schedules, meetings, and routine office communications to support team operations
Create effective visual or document materials using Canva and other standard office tools as needed
Support general office tasks such as filing, correspondence, and follow-up on outstanding administrative items
Requirements
Prior experience in administrative support, office coordination, or a similar assistant role
Ability to handle inbound phone communication professionally and efficiently
Strong organizational skills with the ability to manage multiple tasks and deadlines
Experience with data entry and maintaining accurate administrative records
Proficiency with common office software and comfort using Canva for basic content or document support
Clear written and verbal communication skills
Ability to work independently in a part-time contract role while maintaining reliability and professionalism
