We are looking for a Part-Time Administrative Assistant to join our team fully onsite in Newburyport, MA. In this onsite role, you will play a crucial part in maintaining smooth operations within a small office environment. This contract-to-permanent position offers the opportunity to work closely with financial experts while contributing to essential administrative and client service tasks.
Job Responsibility:
Provide administrative support by organizing schedules, managing correspondence, and maintaining office records
Assist with financial documentation and ensure accurate data entry within CRM systems
Perform customer service tasks, including responding to inbound calls and emails
Coordinate appointments and meetings, ensuring all necessary arrangements are completed
Utilize Microsoft Office tools such as Excel, Word, Outlook, and PowerPoint for various administrative tasks
Conduct mail merges and prepare reports as needed
Maintain clear and precise communication with clients and colleagues to support a positive work environment
Collaborate with team members to ensure efficient workflow and timely completion of tasks
Requirements:
Strong understanding of financial terminology and processes
Proficiency in CRM systems, particularly Wealthbox, and Microsoft Office Suite
Excellent organizational and multitasking abilities
Strong written and verbal communication skills
Ability to manage inbound and outbound calls professionally
Demonstrated experience in scheduling and coordinating appointments
High attention to detail and accuracy in data entry and documentation
