We are looking for a dedicated Part-Time Administrative Assistant to join our team in Westport, Connecticut. In this role, you will handle a variety of administrative and clerical tasks, ensuring smooth day-to-day operations. This is a long-term contract position ideal for someone who enjoys working in a dynamic yet family-oriented environment.
Job Responsibility:
Coordinate and schedule appointments efficiently to support client needs
Serve as the main point of contact for client interactions, ensuring excellent communication and customer service
Scan and organize tax documents and client files to facilitate tax preparation processes
Prepare, print, and assemble tax returns while maintaining accuracy and attention to detail
Handle the mailing of important paperwork to clients and ensure proper record-keeping in client portals
Utilize software programs and technology tools such as scanners and computers to streamline operations
Maintain filing systems to ensure easy access to records and documents
Assist with general receptionist duties, including answering inbound calls and managing inquiries
Collaborate with team members to ensure deadlines are met during busy periods
Support other administrative tasks as needed to enhance office efficiency
Requirements:
A minimum of 3 years of experience in administrative or receptionist roles
Proficiency in Microsoft Office 365, including Outlook, Word, Excel, and Adobe Acrobat
Strong organizational skills with the ability to multitask and prioritize effectively
Excellent communication skills and a friendly demeanor for client-facing interactions
Attention to detail and accuracy in handling sensitive financial documents
Ability to work in a deadline-driven environment with a calm and detail-oriented approach
Knowledge of clerical processes and filing systems to ensure office efficiency
Nice to have:
Familiarity with Thomson Reuters software such as Ultra Tax, File Cabinet, and Practice CS is a plus
