Job Description:

We are looking for a dedicated Part-Time Administrative Assistant to join our team in Westport, Connecticut. In this role, you will handle a variety of administrative and clerical tasks, ensuring smooth day-to-day operations. This is a long-term contract position ideal for someone who enjoys working in a dynamic yet family-oriented environment.

Job Responsibility:

  • Coordinate and schedule appointments efficiently to support client needs
  • Serve as the main point of contact for client interactions, ensuring excellent communication and customer service
  • Scan and organize tax documents and client files to facilitate tax preparation processes
  • Prepare, print, and assemble tax returns while maintaining accuracy and attention to detail
  • Handle the mailing of important paperwork to clients and ensure proper record-keeping in client portals
  • Utilize software programs and technology tools such as scanners and computers to streamline operations
  • Maintain filing systems to ensure easy access to records and documents
  • Assist with general receptionist duties, including answering inbound calls and managing inquiries
  • Collaborate with team members to ensure deadlines are met during busy periods
  • Support other administrative tasks as needed to enhance office efficiency

Requirements:

  • A minimum of 3 years of experience in administrative or receptionist roles
  • Proficiency in Microsoft Office 365, including Outlook, Word, Excel, and Adobe Acrobat
  • Strong organizational skills with the ability to multitask and prioritize effectively
  • Excellent communication skills and a friendly demeanor for client-facing interactions
  • Attention to detail and accuracy in handling sensitive financial documents
  • Ability to work in a deadline-driven environment with a calm and detail-oriented approach
  • Knowledge of clerical processes and filing systems to ensure office efficiency

Nice to have:

Familiarity with Thomson Reuters software such as Ultra Tax, File Cabinet, and Practice CS is a plus
