We are looking for a detail-oriented Paralegal to join a growing boutique law firm in Menlo Park, California on a contract basis with the potential for a permanent position. In this role, you will work alongside attorneys on trust administration and litigation matters, helping keep files organized, deadlines on track, and matters progressing efficiently. This opportunity is well suited for someone who enjoys hands-on case support, direct client interaction, and working within a structured legal environment.
Job Responsibility:
Guide trust administration matters through each phase, from opening files through final asset distribution, while maintaining accurate documentation throughout the process
Draft and assemble notices, inventories, correspondence, and other case-related materials needed to support estate and trust matters
Monitor key dates, court schedules, and matter-specific deadlines to help ensure timely completion of required actions
Support litigation activities by organizing discovery materials, preparing responses and requests, and coordinating document collection
Assist with court filings, service coordination, hearing preparation, and other logistical needs tied to active disputes
Compile records, exhibits, and hearing or mediation binders so attorneys are prepared for proceedings and client meetings
Maintain well-structured electronic case files in Clio or similar case management systems, with clear updates on status and next steps
Communicate with clients to gather information, request records, and provide follow-up needed to keep matters moving forward
Partner with attorneys and staff to reinforce established workflows, checklists, and operational procedures across matters
Requirements:
At least 3 years of paralegal experience, preferably in trusts and estates, probate, or civil litigation
Working knowledge of discovery processes, litigation support, and trial or mediation preparation
Strong organizational skills with the ability to manage multiple active matters and shifting priorities
High level of accuracy and attention to detail when handling legal documents, deadlines, and case records
Clear written and verbal communication skills, including confidence in corresponding with clients and legal teams
Ability to work independently while following established procedures and maintaining consistent case progress
Experience with Clio or comparable legal case management software is preferred
