Job Responsibility:
Daily processing of incoming patent office correspondence from major international intellectual property organizations
Managing international patent application hardcopy mail, ensuring timely routing and documentation
Handling European patent registration certificates, including processing hardcopies, de-docketing related events in an industry-standard IP management system, and determining appropriate archiving or shredding procedures
Verifying and downloading official patent grants and registration certificates, and coordinating offsite storage logistics
Managing incoming signature requests by summarizing items for signature, routing them to appropriate signatories, and tracking completion
Assisting with patent award logistics, which includes tracking, packaging, and shipping of recognition items
Supporting special projects as assigned by the Patent Operations team, such as audits, validation checks, and document retrievals
Requirements:
2-4 years of overall experience in the field of intellectual property administration
Minimum 2+ years of experience with Patent Operations / IP Administration, including handling documents from major international intellectual property organizations and managing certificate workflows
Minimum 1-2 years of experience with an industry-standard IP management system, demonstrating the ability to de-docket events, manage official documents, and maintain accurate IP records
Minimum 2+ years of experience with standard office productivity suite proficiency, especially intermediate to early-advanced spreadsheet skills, for documentation, tracking, and reporting
Strong verbal and written communication skills, with a focus on attention to detail, customer service, and interpersonal effectiveness
Ability to manage multiple tasks and deadlines with minimal supervision
Nice to have:
Paralegal certifications
Significant experience as a paralegal, particularly with an industry-standard IP management system
Prior experience processing both domestic and foreign patents
Familiarity with patent websites and office procedures
Associate’s degree in paralegal studies, with a preference for a certificate in paralegal studies
