The Medical Appointment & Scheduling Coordinator plays a vital role in ensuring participants receive timely access to the services they need by coordinating medical appointments, transportation, documentation, and communication across the care network. About the Role We’re looking for a highly organized, service‑focused Medical Appointment & Scheduling Coordinator to oversee all aspects of scheduling and managing external medical appointments for our PACE participants. In this role, you’ll coordinate referrals, arrange transportation, prepare medical records, handle communications with healthcare providers, and ensure accurate documentation. You’ll serve as a dependable, compassionate point of coordination—helping older adults navigate their medical care smoothly and ensuring our team remains informed and prepared.
Job Responsibility
Schedule and reschedule all outside medical appointments for PACE participants
Coordinate referrals to additional healthcare providers and services
Arrange all transportation related to external appointments
Confirm outside appointments daily to ensure accuracy and readiness
Order, prepare, and generate required medical records for outside appointments
Enter daily data related to appointment summaries, special instructions, patient details, jurisdiction updates, and pre/post‑operative notes
Prepare forms, reports, and departmental documentation in accordance with established policies
Receive, screen, and coordinate telephone calls from healthcare providers
Maintain and update provider addresses, phone numbers, and contact details
Review incoming correspondence and route it to appropriate staff promptly
Perform a variety of administrative tasks including answering phones, faxing, filing confidential documents, and basic email/Internet use
Provide coverage and backup support for the Participant Engagement Specialist
Deliver excellent customer service to all internal and external stakeholders
Maintain strict confidentiality of participant, employee, and agency information
Support and uphold the mission and values of Blue Ridge Care
Requirements
High School Diploma required
Three years of medical clinic administrative or medical scheduling experience preferred
Proficiency in Internet use, email, Microsoft Office, and accurate data entry
Knowledge of medical and surgical terminology
Compliance with HIPAA regulations and strong commitment to confidentiality
Ability to pass a state/federal background check
Excellent organizational, communication, and interpersonal skills
Ability to work independently or collaboratively within a team
Ability to read, write, and communicate effectively in English
Strong customer service mindset, flexibility, and resourcefulness
Valid driver's license required
Proof of automobile insurance meeting minimum reimbursement standards of $100,000/$300,000 personal liability and $100,000 property damage
Physical strength necessary to perform essential duties
Occasional travel between facilities, homes, or provider sites
