The PABX Operator is responsible for professionally handling all incoming and outgoing calls, ensuring efficient internal and external communication. The ideal candidate will deliver outstanding guest service in line with the standards of a luxury five-star hotel, while maintaining discretion and confidentiality.
Job Responsibility:
Operate the hotel’s Private Automatic Branch Exchange (PABX) system effectively to route incoming and outgoing calls
Answer all calls promptly, courteously, and professionally in accordance with hotel standards
Handle wake-up call requests and ensure timely delivery to guests
Relay messages accurately to hotel guests and staff
Coordinate with departments to connect internal calls and ensure smooth communication flow
Monitor emergency lines and follow hotel emergency procedures when necessary
Provide basic hotel information to callers and transfer to appropriate departments
Maintain a current knowledge of hotel services, events, and promotions
Log all calls, messages, and wake-up calls as required by hotel policy
Assist in maintaining updated telephone directories
Ensure confidentiality of guest information at all times
Perform additional front office or communication-related duties as assigned
Requirements:
High school diploma or equivalent
Minimum 1 year of experience in a similar role, preferably in a luxury or five-star hotel environment
Professional and courteous telephone etiquette
Strong listening skills and attention to detail
Ability to remain calm and focused in high-pressure situations
Familiarity with hotel communication systems (e.g., PABX, Opera, or other PMS)
Basic computer proficiency (MS Office, Outlook)
High level of personal presentation and grooming
Able to work a flexible schedule with the ability to work all shifts, weekends and holidays as per business demands and needs
Excellent verbal communication skills in English
Must be able to speak, read, and write Bahasa Malaysia
Must have the right to work in Malaysia
Nice to have:
Additional hospitality or communication training is a plus
additional languages are a strong advantage
