A well-established non-profit organization is seeking an experienced and highly organized Operations Supervisor Support professional to provide temporary coverage for a key vacancy within the Operations Department. This role is responsible for overseeing daily facilities and administrative operations across multiple agency locations, ensuring safe, efficient, and compliant work environments while supporting organizational objectives.
Job Responsibility
Oversee day-to-day facilities operations and administrative support functions across agency locations
Coordinate facility maintenance, repairs, preventative maintenance programs, and building improvement projects
Ensure compliance with workplace health, safety, security, and regulatory requirements
Monitor agency assets, equipment inventories, and property records
Oversee mail services, copy services, supply management, and equipment distribution processes
Coordinate vehicle maintenance schedules and related operational requirements
Provide daily supervision, guidance, and support to Operations and Facilities staff
Assign, monitor, and evaluate work activities to ensure operational effectiveness and timely completion of tasks
Foster a collaborative, service-oriented work environment focused on customer service and operational excellence
Assist with training, coaching, and performance management initiatives
Source, evaluate, and coordinate vendors, contractors, and service providers
Negotiate service agreements and contracts while adhering to organizational policies and government funding requirements
Monitor vendor performance, service quality, and contract compliance
Review and approve operational expenditures within established guidelines
Evaluate existing operational procedures and recommend improvements to increase efficiency and service quality
Identify opportunities for cost savings, workflow enhancements, and operational best practices
Develop and maintain operational records, reports, and documentation
Support special projects and agency initiatives as assigned
Collaborate with department leaders and senior management to address operational needs and organizational priorities
Requirements
Bachelor’s degree from an accredited college or university preferred
High school diploma or equivalent with a minimum of four years of progressively responsible experience in facilities management, operations, maintenance, project coordination, or related fields may be substituted for degree requirements
Previous experience supervising staff and coordinating facility operations strongly preferred
Experience working with vendors, contractors, and service agreements required
Valid California Driver’s License required
Must have reliable transportation and maintain current automobile liability insurance
Ability to travel between agency locations as needed
Must be able to occasionally work evenings and weekends based on operational requirements
