We are looking for a detail-oriented Operations Specialist to join a team in Philadelphia, Pennsylvania in a Contract to Permanent role. This position supports day-to-day operational activity by coordinating order processing, documentation, billing tasks, and communication tied to incoming goods and outbound shipments. The ideal candidate is comfortable working in a structured environment, enjoys keeping processes organized, and can contribute ideas that improve efficiency over time.
Job Responsibility
Process customer and internal orders accurately while maintaining organized transaction records
Prepare invoices, verify supporting documents, and reconcile order details with receipts and related paperwork
Track incoming goods and ensure receiving information is documented correctly and promptly
Support basic bookkeeping and collections activities, including following up on outstanding items when needed
Coordinate with trucking contacts, vendors, and internal team members regarding materials and delivery activity
Work with raw material and shipment information to help maintain smooth operational flow
Use spreadsheets and operational systems to review data, update records, and monitor routine tasks
Identify opportunities to improve workflows and help build more efficient, dependable procedures
Requirements
Prior experience in operations, order administration, customer support, or a similar office-based role
Background in a manufacturing, distribution, logistics, or product-based environment is strongly preferred
Ability to manage detailed, repetitive processes with a high level of accuracy
Proficiency with Excel and confidence working with spreadsheets and business data
Experience matching invoices, receipts, and order records in an organized manner
Strong communication skills and the ability to collaborate effectively with a close-knit team
Familiarity with bookkeeping support, collections, or related administrative functions is a plus
Experience with Sage software is helpful, but not required
