Job Description:

Operations Specialist position assisting with daily administrative support, working with customers to schedule service, coordinating with vendors, and managing workflow communications. This is a high volume, fast paced position in a growing company.

Job Responsibility:

  • Manage and maintain daily schedules, calendars, and appointments for team members and executives
  • Coordinate logistics for deliveries, meetings, and other operational activities
  • Handle inbound calls professionally, providing information and resolving inquiries
  • Schedule and oversee work orders to ensure timely completion
  • Dispatch assignments and communicate effectively with relevant stakeholders
  • Assist with project coordination, tracking progress, and ensuring deadlines are met
  • Organize and support the planning of special events or team gatherings
  • Ensure accurate record-keeping and documentation for administrative processes
  • Collaborate with departments to streamline scheduling and operational workflows
  • Provide general administrative assistance to support day-to-day business needs
  • Work with customers to schedule their service
  • Coordinate with vendors
  • Manage workflow communications to the team
  • Work in the database and Excel to communicate workflow
  • Handle all follow up calls or emails regarding service
  • Process work orders

Requirements:

  • Minimum of 3 years of experience in administrative coordination or a similar role
  • Proficient in calendar management and scheduling tools
  • Strong communication skills, both verbal and written, for handling calls and correspondence
  • Ability to multitask and prioritize effectively in a fast-paced environment
  • Experience with logistics coordination and dispatching tasks
  • Familiarity with project coordination, including tracking and reporting
  • Detail-oriented with excellent organizational skills
  • Proficiency in using office software such as Microsoft Office Suite
  • Prior logistics experience
  • Accurate data entry into company databases
  • Excellent communication skills
