We are looking for an Operations Specialist to support daily office coordination and workplace services in Durham, North Carolina. This Long-term Contract position will play a key role in creating a smooth, organized experience for employees, visitors, and business partners through strong administrative and facilities support. The ideal candidate will balance event coordination, office operations, and vendor communication while helping maintain an efficient and well-organized work environment.
Job Responsibility:
Partner with local leadership and human resources to support onboarding readiness, including workspace preparation, access coordination, and onboarding logistics
Organize on-site meetings from start to finish by arranging room setup, coordinating food and beverage service, and ensuring spaces are ready before and after each event
Maintain day-to-day office inventory by monitoring supply levels, ordering essential materials, and supporting items such as business cards, shipping needs, and printer upkeep
Plan and assist with Durham-based employee events, community outreach activities, volunteer programs, and charitable initiatives
Act as a point of contact for facility-related needs by working with property management and external vendors on repairs, maintenance requests, and workplace improvements
Receive, sort, and distribute incoming mail and packages in a timely and accurate manner
Track service issues and follow through with appropriate partners to help keep the office running efficiently and safely
Provide general operational and administrative support for additional tasks and priorities as business needs evolve
Strong organizational skills with the ability to manage multiple priorities and maintain attention to detail in a fast-paced environment
Ability to coordinate meetings, events, and onboarding activities with a high level of professionalism and follow-through
Effective communication skills for working with employees, vendors, building management, and internal business partners
Proficiency with common office tools and technology, along with confidence handling shipping, supply ordering, and general workplace logistics
Ability to work independently, solve routine operational issues, and adapt to changing day-to-day needs
Background in regulated or service-driven industries such as consumer banking, consumer lending, credit card operations, or similar environments is a plus
