Job Description:

We are looking for a detail-oriented Operations Specialist in Louisville, Kentucky! In this Contract to permanent position, you will play a key role in supporting the Services division by ensuring accurate order processing and invoicing for customers. This role requires strong organizational skills and the ability to work effectively with IT systems and colleagues to deliver exceptional service. The Operations Specialist is a hybrid position in Louisville, KY. The business hours are Monday - Friday: 8am-5pm.

Job Responsibility:

  • Process customer orders accurately and ensure proper entry into internal systems
  • Generate invoices for services performed and verify coding details for accuracy
  • Collaborate with technicians and customers to address service needs, including repairs, replacements, or emergency assistance
  • Utilize CRM tools such as Salesforce to manage customer data and track order progress
  • Perform data entry tasks with precision to support seamless workflow and invoicing
  • Solve basic problems using logical reasoning and simple mathematical calculations
  • Communicate effectively with team members and customers to clarify order details or resolve discrepancies
  • Maintain organized and updated records to ensure operational efficiency
  • Support the training process for new team members on systems and procedures
  • Assist in identifying opportunities for process improvements within the service operations

Requirements:

  • Proficiency in data entry with attention to detail and accuracy
  • Experience with order entry processes
  • Strong interpersonal skills to work collaboratively with teams and customers
  • Familiarity with CRM platforms and systems
  • Competence in using Microsoft Excel for data management and reporting
  • Ability to perform basic algebra and problem-solving tasks independently
  • Comfortable navigating IT systems and learning new tools
  • Prior experience in an operations or administrative role
