Job Description:

We are looking for a highly organized and detail-oriented Operations Processor to join our team in Boca Raton, Florida. In this role, you will oversee international shipping documentation and export compliance processes while coordinating with freight forwarders and internal departments to ensure smooth operations. This is a long-term contract position within the wholesale distribution industry, where precision and adherence to regulatory requirements are critical.

Job Responsibility:

  • Prepare and file Automated Export System (AES) documentation for international shipments
  • Create and manage Shipping Letters of Instruction and Air Way Bills for air and ocean freight
  • Generate Proforma invoices and maintain accurate records related to domestic and international shipping
  • Coordinate shipments with freight forwarders, arranging truck pickups and managing freight terms
  • Ensure compliance with U.S. export regulations, including handling Schedule B numbers and export licenses
  • Monitor shipment statuses and maintain detailed documentation logs for export and shipping activities
  • Provide administrative support to internal teams by sharing shipment updates and addressing documentation inquiries
  • Track and maintain daily shipping reports to ensure accurate record-keeping and timely processing
  • Collaborate with the shipping department, accounting, and customer service teams to address operational needs
  • Manage documentation for various carriers, including FedEx and other international shipping providers

Requirements:

  • Proven experience in preparing international shipping documentation and managing export logistics
  • Familiarity with Automated Export System (AES) filing and export compliance regulations
  • Knowledge of freight forwarders and international freight terms, including Air Way Bills and Bills of Lading
  • Strong organizational skills and attention to detail in managing multiple shipments and deadlines
  • Ability to work collaboratively across departments to ensure operational efficiency
  • Proficiency in tracking and reporting shipment data and maintaining accurate documentation
  • Strong communication skills to coordinate effectively with external partners and internal teams
  • Experience with import-export documents and risk management processes
