We are looking for an Operations Manager to join our team in Jersey City, New Jersey. In this role, you will manage a variety of tasks related to property management, vendor coordination, and financial administration. This position is ideal for someone with strong organizational skills and a proactive approach to maintaining operational efficiency.
Job Responsibility:
Coordinate maintenance requests from residents, ensuring timely dispatch of technicians or vendors and prompt resolution of issues
Conduct inspections of properties to ensure compliance with operational and maintenance standards
Manage vendor onboarding and procurement, including preparing and overseeing Request for Proposal (RFP) processes
Review and process invoices for accuracy and completeness, maintaining proper financial documentation
Oversee inventory management for maintenance supplies, ensuring adequate stock levels and timely reordering
Provide administrative support to the Director of Operations, including project coordination and operational reporting
Maintain financial records in QuickBooks and Excel, handling accounts payable and receivable tasks
Assist with budget management and tracking for property operations
Conduct online research to identify investment opportunities and gather market intelligence
Manage daily office operations, including correspondence and documentation needs
Requirements:
Proven experience in property management or a similar operational role
Proficiency in QuickBooks and Microsoft Excel for financial tracking and reporting
Strong understanding of accounts payable, accounts receivable, and invoice processing
Exceptional organizational skills and attention to detail
Ability to manage vendor relationships and procurement processes effectively
Familiarity with commercial property management practices
Excellent communication skills for liaising with tenants, vendors, and team members
Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment
