Job Description

We are looking for an Operations Manager to join our team in Jersey City, New Jersey. In this role, you will manage a variety of tasks related to property management, vendor coordination, and financial administration. This position is ideal for someone with strong organizational skills and a proactive approach to maintaining operational efficiency.

Job Responsibility

  • Coordinate maintenance requests from residents, ensuring timely dispatch of technicians or vendors and prompt resolution of issues
  • Conduct inspections of properties to ensure compliance with operational and maintenance standards
  • Manage vendor onboarding and procurement, including preparing and overseeing Request for Proposal (RFP) processes
  • Review and process invoices for accuracy and completeness, maintaining proper financial documentation
  • Oversee inventory management for maintenance supplies, ensuring adequate stock levels and timely reordering
  • Provide administrative support to the Director of Operations, including project coordination and operational reporting
  • Maintain financial records in QuickBooks and Excel, handling accounts payable and receivable tasks
  • Assist with budget management and tracking for property operations
  • Conduct online research to identify investment opportunities and gather market intelligence
  • Manage daily office operations, including correspondence and documentation needs

Requirements

  • Proven experience in property management or a similar operational role
  • Proficiency in QuickBooks and Microsoft Excel for financial tracking and reporting
  • Strong understanding of accounts payable, accounts receivable, and invoice processing
  • Exceptional organizational skills and attention to detail
  • Ability to manage vendor relationships and procurement processes effectively
  • Familiarity with commercial property management practices
  • Excellent communication skills for liaising with tenants, vendors, and team members
  • Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment
