Requirements

A minimum of 2 to 4 years of experience in logistics coordination, internal scheduling, or service operations support (without direct client interaction)
College Diploma (DEC) in Logistics, Operations Management, or a related field
Advanced proficiency in resource planning software (ERP) or Field Service Management (FSM) systems, as well as the Microsoft Office Suite (Advanced Excel is an asset)
Exceptional capacity for analytical thinking, rapid problem-solving, and adherence to rigorous processes
Excellent team spirit, clear communication, and ability to mobilize teams

Job Responsibility

Planning and Logistics Optimization: Manage and optimize the work schedules of internal teams (technicians, installers, etc.) by maximizing route efficiency and resource allocation
Work Order Management: Receive, prioritize, and distribute internal work orders to teams, ensuring all necessary information is documented for execution
Procurement Support: Coordinate the ordering, tracking, and distribution of equipment, tools, and parts required for field operations, in liaison with the purchasing department
Inter-Team Coordination: Ensure fluid and constant communication between field teams, the warehouse, and administrative departments (R&D, Engineering, Logistics)
Documentation and Systems: Maintain the work order management system (ERP or FSM) up-to-date, ensure intervention reports are properly completed by the teams, and compile activity data
Process Improvement: Identify logistical bottlenecks and propose solutions to optimize internal support processes

Enrollment in the Junior or Senior year of an undergraduate or graduate degree program at an accredited college or university
Candidates should be pursuing a field of study applicable to the Purchasing Specialist Internship
Cumulative grade point average (GPA) of 2.5 or better
Ability to work independently on assigned tasks and accepts direction on given assignments

Job Responsibility

Learn the internal item setup process and coordinate with the sales team to ensure proper classification of each item “attribute”
Conduct a review of all renewable orders to ensure they have renewal opportunities tied to them and add a renewal opportunity start date as necessary
Learn the different steps of how to process a purchase order at an IT organization like Trace3
Review orders to ensure accuracy of shipping address, PO, shipping account information, price, etc.
Enter purchase orders into our ERP (NetSuite)
Learn and work alongside Accounting and Sales to resolve variances and problem-solve discrepancies
Track backlog of orders processed and perform item fulfillment based on vendor fulfillment document
Learn how to build relationships with internal teams, sales, and outside vendors
Perform other duties as assigned

Requirements

2-4 years of experience in Operations, IT support, or Customer Experience tooling environments
Familiarity with SaaS administration concepts - especially user provisioning, role management, and access control
Working knowledge of SSO/identity platforms (Okta, Google Workspace, etc.)

Job Responsibility

Own day-to-day user provisioning, deprovisioning, and role changes across the Operations tooling ecosystem
Manage credentialing workflows end-to-end
Act as the primary point of contact for tooling access requests submitted through the internal Jira queue
Triage and resolve low-complexity Tools & Systems tickets
Maintain accurate access records, license inventories, and role mappings
Partner with IT to coordinate SSO/Okta provisioning
Execute and track onboarding/offboarding processes for all users across Salesforce, Zendesk, Assembled, MaestroQA, Lessonly, Sprout, Autotab, and Talkdesk
Support incident response by documenting and escalating P1/P0 tooling incidents
Identify inefficiencies or gaps in provisioning and access processes
Participate in scheduled access reviews, internal audits, and data handling assessments involving PII
