The Operations Coordinator provides support and clerical expertise to Operational Departments at the property including Rooms Division, Food & Beverage Division, and the Hotel Manager. This position will respond to guest and employee inquiries in an efficient, courteous, and professional manner to achieve maximum satisfaction while complying with all Four Seasons' policies.
Job Responsibility:
Perform administrative skills such as emailing, filing, copying, scanning, faxing and answering telephones according to Four Seasons standards
Schedule recurring meetings/meetings and arrange for the needed setup
Communicate to Engineers on duty and keep a log of all details pertaining to guest calls regarding maintenance of rooms and equipment in rooms or public area in a timely manner
Assist with guest satisfaction surveys follow up (Medallia), alert assignment and content follow up
Monitor HotSOS and manage the calls to ensure swift completion and the best guest and employee experience
Assist F&B Leadership with admin related tasks
Carry out any other project or task assigned to by the Hotel Manager
Assists in completing special projects, which may include mailings, competitive surveys, menus or other assigned duties
Coordinate the meetings and trips with contractors, vendors and suppliers for Engineering Manager
Run daily reports, request bids, create purchase order and receiving system and handle Hotel deliveries
Track par stocks and distribution of items from inventory and assist with purchase order system.
Requirements:
High school education or equivalent experience
A minimum of one year experience in a similar position would be preferred
High level of computer literacy including Microsoft Windows programs (e.g. Excel, Word, etc.)
Proficient in spoken and written English
Effective planning, organizational, and project management skills
Strong interpersonal and communication skills, including email correspondence
Excellent organizational skills, detail-oriented approach, and time management skills
Ability to act and multi-task in a dynamic environment under stressful conditions and tight deadlines.
