We are looking for a detail-oriented Operations Coordinator to join our team near Elmwood Park, New Jersey. This Contract-to-Permanent position offers an exciting opportunity to support key operational and project management functions within a dynamic environment. The ideal candidate will play a pivotal role in ensuring seamless coordination between teams, vendors, and clients while maintaining accurate documentation and schedules.
Job Responsibility:
Coordinate daily and weekly schedules for roofing crews, supervisors, and subcontractors to ensure project timelines are met
Track and monitor the progress of vendors and suppliers to support project objectives
Assist project managers with job setup, documentation, and progress tracking to maintain workflow efficiency
Act as a communication bridge between field teams, vendors, customers, and internal departments to resolve issues and provide updates
Oversee the tracking and coordination of materials, deliveries, and equipment to ensure job site readiness
Maintain organized records of job files, permits, contracts, and compliance documentation for easy access and accuracy
Prepare and process work orders, change orders, and closeout documentation in a timely manner
Monitor project schedules, identify potential conflicts, and collaborate on solutions to prevent delays
Support safety compliance efforts by ensuring all required documentation is completed and up-to-date
Perform administrative tasks such as data entry, reporting, and invoice management to support overall operations
Requirements:
Proven experience in administrative support, preferably within a construction or project management setting
Proficiency in handling data entry, documentation, and reporting with attention to detail
Strong organizational skills with the ability to manage multiple schedules and priorities effectively
Excellent communication and interpersonal skills to liaise with teams, vendors, and clients
Familiarity with work orders, contracts, and compliance documentation processes
Ability to handle inbound calls and customer inquiries professionally and efficiently
Proficiency in using office software and tools for scheduling and documentation purposes
A proactive approach to problem-solving and the ability to work collaboratively under tight deadlines
