Job Description:

We are looking for a detail-oriented Operations Assistant to join our team in Carlsbad, California. This Contract to permanent position offers an excellent opportunity to support operational and sales processes within the investment management industry. The ideal candidate will play a pivotal role in ensuring smooth workflows, accurate documentation, and compliance with industry standards.

Job Responsibility:

  • Collaborate closely with the Operations and Sales teams to streamline processes and ensure effective communication
  • Provide the Sales team with accurate and timely documentation for client distribution
  • Record and summarize received information for financial advisors to facilitate decision-making
  • Monitor restricted positions daily and prepare required documentation for custodial needs
  • Analyze daily reports from the custodian and coordinate with internal teams to ensure proper coding
  • Communicate with issuers and external legal counsel when necessary to address documentation and compliance matters
  • Execute trade processing and settlement operations efficiently
  • Reallocate interest based on broker performance and maintain accurate records
  • Manage the placement timeline and update placement calendars accordingly
  • Prepare and distribute subscription agreements while ensuring subscriber accreditation and compliance with guidelines

Requirements:

  • Prior experience in the credit card, consumer banking, or consumer lending industry
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint
  • Strong organizational and analytical skills to handle detailed operational tasks
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Excellent communication skills to liaise with internal teams and external stakeholders
  • Familiarity with investment management processes and industry standards
  • Knowledge of compliance requirements for account registration and documentation
  • Attention to detail and a proactive approach to problem-solving
