Are you an organized and adaptable professional seeking a key role in daily operations? We are looking for an Operations Coordinator to join our team and ensure smooth customer service delivery, workflow coordination, and process support.
Job Responsibility:
Provide excellent customer service to internal and external clients, handling all inbound and outbound phone calls, emails, messages, and chats
De-escalate situations with dissatisfied customers, delivering assistance and effective solutions
Coordinate and manage daily intake and referral processes to drive business growth
Process client and attendant enrollment paperwork quickly and accurately, including via Adobe and Docusign
Facilitate authorization and compliance processes, ensuring accuracy and timely completion
Support accounts receivable by auditing service authorizations and working with MCO representatives for corrective actions
Offer comprehensive administrative support (mailing, scanning, faxing, data entry) and manage forms and documents in relevant systems
Handle specialized projects or tasks as assigned, adapting to new policies and requirements, including changes related to Medicare programs
Promote a cohesive office environment, supporting day-to-day operations and client advocacy
Requirements:
Fast and accurate paperwork processing in Adobe and Docusign
Proficient in replying promptly to inbox inquiries and adept at switching priorities as business needs change
Demonstrate strong reliability—consistent attendance and work ethic are essential
Must have effective communication skills and a “thick skin” for managing challenging situations
Intermediate proficiency with business software, including Adobe, Docusign, Info Box, EVP, Sand Data, and CRM
Prior customer service or operations experience, preferably in healthcare, insurance, or administrative support roles
Ability to comply with all applicable legal requirements, standards, and company policies
Strong problem-solving, decision-making, and workflow coordination skills
Eagerness to participate in ongoing training and professional development
Nice to have:
Work history in a fast-paced, customer-focused, or administrative environment
healthcare or insurance operations a plus
Demonstrated ability to manage shifting priorities, particularly in regulated or process-driven settings
