We are seeking an Operations Assistant to provide maternity cover for our PA and Office Manager for an initial 9‑month fixed‑term contract, with the potential to extend to 12 months. This role will focus on keeping the London office running smoothly day‑to‑day, while also providing PA support to one of the Directors, Jack, who is a Partner of the business. With the support of an experienced wider team, this role is designed to be more junior than the current position but still requires someone organised, proactive and comfortable handling a wide variety of tasks.
Job Responsibility:
Ensuring the smooth day‑to‑day running of the London office
Managing office supplies, stock levels and general office organisation
Acting as a central point of contact for the studio and supporting the wider design team
Setting up meeting rooms and coordinating internal and external meetings
Liaising with the building management when required
Supporting basic IT set‑ups and onboarding for new starters
Relaying information and updates between Directors, EAs and the wider team
Diary management and scheduling meetings (face‑to‑face and online)
Managing business and personal travel bookings, including flights, accommodation, itineraries and visas
Acting as a point of contact between Jack, the team and external clients
Chasing, reminding and supporting Jack with priorities, deadlines and preparation
Supporting with client liaison when required
Requirements:
Experience in an operational, office support, PA or EA role
Exposure to working within a creative business, agency, or studio environment
Strong organisational skills and the ability to operate effectively in a fast‑paced environment
A flexible and adaptable approach - this is a role where priorities can change daily
Confidence managing diaries, travel and multiple small tasks concurrently - high levels of organisation is a must
