Job Description

A growing distributor based in Pointe-Claire is looking for a highly organized and detail-oriented specialist to join their team and manage their essential operational and inventory functions. The Operations and Inventory Specialist is a critical full-time position responsible for the day-to-day flow of goods and inventory accuracy within their office. This role ensures seamless coordination between logistics, shipping, and system inventory.

Job Responsibility

  • Logistics and Goods Management: Verify and ensure that pricing on the order confirmation matches the purchase order
  • Check supplier paperwork (quantity, purchase order number) against the actual items received
  • Accurately enter the reception of goods into our ERP system
  • Liaise with suppliers to resolve discrepancies (missing goods, incorrect items, etc.)
  • Shipment of Goods: Make necessary adjustments to sales orders if different products are used in the bill of materials
  • Ensure all sales orders are fully shipped and nothing is overlooked
  • Match the packing slip with the sales order for handover to accounting for billing
  • Logistics Coordination: Track incoming shipments from suppliers
  • Organize and coordinate specific Less Than Truckload (LTL) shipments
  • Obtain rate quotes for larger shipments and perform cost analysis comparisons to ensure competitive pricing across carriers
  • Inventory and Purchasing Systems: Input price increases received from suppliers into the system
  • Perform changes to product data as necessary (part number, description, etc.)
  • Adjust inventory levels to maintain accuracy within the system
  • Purchase Orders: Confirm all created purchase orders are correctly placed with the suppliers
  • Verify purchase orders to prevent duplication or overwriting
  • Follow up on purchase order statuses and make necessary updates
  • Return of Goods: Manage the process of returning goods to the original manufacturer
  • Issue credit paperwork to clients when applicable for returned items

Requirements

  • A minimum of 2 years of experience in an inventory, logistics, or operations coordination role
  • Proven experience working with an ERP or inventory management system
  • Strong organizational skills and exceptional attention to detail
  • Ability to communicate effectively with suppliers, internal teams, and clients
  • Proficiency in Microsoft Office Suite (Excel, Word)
  • Ability to communicate in both English and French
