The North Operations Administrator will provide an effective, professional and flexible administrative service to both the Ethiebeaton Office and Operation across the North area of Scotland.
Job Responsibility:
Coordinate with Quarry Managers to prepare and process operational documentation, reports, and data
Administer and process overtime timesheets, ensuring the accuracy and completeness of all submitted information
Ensure all documentation and paperwork comply with company procedures and standards
Support quality control documentation and compliance processes, including participating in audits across sites in the North of Scotland when required
Organise and attend meetings as required, taking minutes and contributing to action planning to ensure effective follow-up and implementation of decisions
Collaborate with central teams to provide administrative support for financial processes, including invoicing and reconciliations
Contribute to continuous process improvement initiatives aimed at enhancing efficiency and effectiveness in administrative operations
Maintain accurate and well-organised filing systems for operational and administrative records
Assist in the preparation of weekly and monthly operational reports for the area
Support office Health & Safety administration, ensuring documentation and systems are regularly updated and maintained
Maintain responsibility for office stationery and supplies, ensuring adequate stock levels are available
Ensure all office equipment (excluding IT equipment) is fit for purpose and coordinate maintenance and servicing as required
Respond promptly to issues raised by employees regarding the office environment
Provide administrative back-up support to other departments when required
Requirements:
Experience of working with Senior Stakeholders, with the ability to build strong professional relationships
A self-starter who is commercially focused and responds appropriately on your own to improve outcomes and process’s and assumes responsibility for your own performance by demonstrating drive and initiative
Logically minded with excellent organisational skills and confidence to deal directly with internal and external customers on both a formal and informal level
Excellent numerical skills and the ability to work under pressure with a high level of interpersonal and communication skills demonstrating excellent listening skills, attention to detail and accuracy
The ability to manage competing deadlines by estimating time frames and monitoring own progress and ability to anticipate problems and consider a solution
Experience and understanding of customer service principles and practices
Computer literate in MS Office and Outlook
