Job Description:

Foundation Software is seeking a detail-oriented and proactive Operations Admin to support company-wide projects focused on process alignment and improvement. This role will assist the Operations team in coordinating cross-functional initiatives, managing process documentation, and ensuring that project goals align with business objectives. The ideal candidate will thrive in a collaborative environment, working closely with various departments to drive operational efficiency and standardization.

Job Responsibility:

  • Assist in planning, coordinating, and tracking key operational projects to align processes across departments
  • Collaborate with stakeholders to document and refine business processes, ensuring clarity and consistency
  • Maintain and update project documentation, including workflows, SOPs, and training materials
  • Monitor project timelines and assist in ensuring deadlines are met by assisting with various assigned tasks
  • Assist in creating onboarding and training materials for customer success and support team members on updated processes and procedures
  • Work closely with the Operations team to support continuous improvement efforts across company-wide initiatives

Requirements:

  • 2+ years of experience in operations or process improvement
  • Strong ability to document, streamline, and optimize business processes
  • Experience working with CRM, project management, or workflow automation tools
  • Exceptional organizational skills with the ability to manage multiple projects simultaneously while maintaining independence and accountability
  • Strong written and verbal communication skills with the ability to work well within a team environment
  • Analytical mindset with problem-solving skills to assist in identifying operational gaps and propose solutions
  • Detail-oriented, proactive, and self-motivated with a keen sense of accountability
  • Ability to adapt to a fast-paced environment and manage shifting priorities

  • Triage and resolve low-complexity Tools & Systems tickets
  • Maintain accurate access records, license inventories, and role mappings
  • Partner with IT to coordinate SSO/Okta provisioning
  • Execute and track onboarding/offboarding processes for all users across Salesforce, Zendesk, Assembled, MaestroQA, Lessonly, Sprout, Autotab, and Talkdesk
  • Support incident response by documenting and escalating P1/P0 tooling incidents
  • Identify inefficiencies or gaps in provisioning and access processes
  • Participate in scheduled access reviews, internal audits, and data handling assessments involving PII
