Job Description

Admin Officer - Swansea MOJ Brook Street have a great opportunity to work with the Ministry of Justice on a temporary basis in Swansea. Please see the below details of the position and apply direct if you feel this position is of interest and suited to you. Full time position (37 hours) Monday - Friday Pay - £12.86 for the first 12 weeks and increasing to £13.25 thereafter Temporary - 6 months assignment ON SITE ONLY Start date: As soon as possible, delays as Enhanced DBS clearance required.

Job Responsibility

  • Undertaking all administrative tasks to prepare for, facilitate, and conclude hearings
  • Assisting users and stakeholders through face-to-face engagement, telephone calls, and responding to correspondence
  • Providing clear, consistent information to users, including those with complex needs
  • Using HMCTS service scripts and knowledge articles to direct users to relevant services and support
  • Supporting users through complaints procedures, offering immediate responses to prevent escalation
  • Identifying risks related to HMCTS buildings, informing the Senior Person on Site, and providing immediate responses
  • Processing work in line with standard operating procedures to meet performance targets
  • Managing case files with accurate data entry, secure information handling, and compliance with data retention protocols
  • Handling jury service tasks such as selection, deferrals, reassignments, attendance tracking, and processing expenses
  • Assisting with listing and scheduling to optimise judicial time and respond to urgent matters
  • Providing judicial support including diary management and administrative assistance
  • Supporting enforcement activities like financial assessments, fine collection, and generating basic reports
  • Contributing to health and safety operations, including facility checks, issue logging, and safety governance

Requirements

  • Strong organisational skills and attention to detail
  • Excellent communication skills, with the ability to engage professionally across multiple contact methods
  • Ability to handle sensitive information with discretion
  • Experience in administrative support or customer service roles
  • Knowledge of health and safety procedures is desirable
  • Ability to work effectively under pressure and adapt to changing priorities
