Invicta Health has an exciting opportunity available at St Peters Surgery, open to both full time and part time candidates. We are looking for an experienced and motivated Operational Site Manager to join our leadership team and play a key role in ensuring the smooth, safe and effective delivery of our GP practice St Peters Surgery located within the Thanet Health Hub. Working alongside the Site Management Team and clinical leaders, you will lead operational performance, support our workforce, and help drive continuous improvement within the practice. Job Responsibility:

  • Provide operational support to the clinical leadership team
  • Use highly developed leadership and influencing skills to motivate, inspire, and involve individuals at all levels
  • Monitor and manage the agreed Key Performance Indicators
  • Be accountable for data submitted to the corporate dashboard
  • Be responsible for overall quality and safety within the service
  • Effectively manage risk across all services
  • Support the corporate governance management process
  • Contribute to the setting of site-based budgets
  • Ensure site has robust systems in place to maximise income potential
  • Contribute to the development and management of cost improvement schemes
  • Deliver the service within agreed budget
  • Responsible for claiming ARRS funding monthly on behalf of the PCN
  • Actively engage with the local PCN, health economy, and commissioners
  • Be part of the on-call rota for the Urgent Treatment Centre and remote access services
  • Work closely with the Clinical and Management Team to deliver the vision and strategy
  • Actively participate in weekly Management Team meetings
  • Review workforce to ensure the service is of high quality
  • Identify and mitigate risks to the site
  • Ensure all aspects of site performance are appropriately monitored
  • Proactively manage service demand and capacity
  • Develop and maintain effective communication
  • Review and approve all overtime requests
  • Coordinate contract reporting and monitor the performance of the service
  • Have an overview of Friends and Family Test and NHS Patient survey results
  • Work with local commissioners to develop and deliver service provision
  • Proactively engage with PCN and local leaders
  • Work with the Management Team to develop the practice training and supervision capacity
  • Ensure regular meetings with department managers are held
  • Lead on the practice refurbishments and ensure estate issues are dealt with
  • Identify long-term service needs
  • Organise site specific inductions
  • Support staff with recruitment processes
  • Mentor, supervise, and develop new and existing staff
  • Oversight of the management of annual leave
  • Management of sickness across the service
  • Undertake staff 1:1, appraisals, and approval of probationary periods
  • Plan, coordinate and provide rotas/clinical templates
  • Support leads with the oversight and/or management of HR issues
  • Ensure that all staff members are compliant with Statutory and Mandatory training
  • Develop excellent communication/working relationship between the practice and the Patient Participation Group (PPG)
  • Ensure practice representation at PPG meetings
  • Support the PPG Chair in developing the PPG
  • Work with the PPG to develop a workplan
  • Involve the PPG in external and internal reviews
  • Actively support the PPG in its administration needs
  • Liaise with the PPG to help guide and develop its function
  • Manage the service within agreed budget
  • Ensure maximisation of claims through the practice
  • Take overall responsibility to ensure that QOF, enhanced services, PCQS, CQRS and PCN potential income are maximised
  • Work close with Corporate Finance colleagues
  • Proactively participate and chair weekly local management meetings
  • Responsible for the development of the risk register for the service
  • Attend and chair relevant staff meetings
  • Ensure that all areas of governance are managed effectively
  • Manage complaints and incidents
  • Ensure that Health and Safety guidelines are always observed
  • Be aware of guidelines relating to the safeguarding of children and vulnerable adults
  • Ensure that strict confidentiality is always observed
  • Work with the Management team to ensure the service is CQC compliant
  • Develop and maintain an asset register for the practice
  • Maintain and implement practice-based elements of the corporate Business Continuity Business Plan
  • Participate in an annual appraisal
