At Allied Universal®, we’re looking for a people-focused, organized, and welcoming professional to join our Des Moines office as an Onboarding Specialist. This is more than an onboarding role. In our small, team-oriented office, you’ll also serve as the first point of contact at the front desk, creating a positive and professional first impression for every candidate, employee, and visitor.
Job Responsibility:
Lead and proctor New Employee Orientation (NEO) sessions
Prepare orientation materials (welcome packets, equipment, and supplies)
Verify hiring documents and complete Form I-9 requirements
Administer drug tests and ensure compliance steps are completed
Manage onboarding tasks in systems like iCIMS and WinTeam
Enter employee information, direct deposit, and compliance codes
Ensure all training and onboarding steps are fully completed
Support front desk reception duties: Greet and assist visitors and candidates
Answer phones and direct inquiries
Maintain a professional and organized office environment
Prepare for New Employee Orientation (NEO) daily
ensure classroom has the necessary tools required to complete orientation
Proctor NEO
review welcome kit, verify Form I-9 documents, administer drug tests
Initiate onboarding documents via Applicant Tracking System (ATS) (e.g., iCIMS)
Complete employer section of Form I-9 documents
Update iCIMS – ensure all required iForms are complete
Advance new hire in WinTeam (WT)
Update required fields in WT
Enter compliance codes
Enter direct deposit
Ensure orientation is completed by new hire (3 lessons and final exam)
Enter rehires into WT
update employee information in WT
Requirements:
High School diploma or equivalent
Prior work experience in a professional administrative environment
Able to focus and multi-task in a busy environment
Ability to successfully handle stressful situations in a calm and professional manner
Effective management skills
able to coordinate with multiple employees with diverse personalities and engage them to perform at optimum levels
Highly proficient and fully functional in all Microsoft Office applications and able to effectively utilize all available office management technology
Ability to take initiative, successfully handle and prioritize multiple competing assignments and effectively manage deadlines
Nice to have:
College degree in business, human resources, or related field of study
Human resources and/or recruiting experience
Experience using iCIMS or other Applicant Tracking System
Experience using WinTeam or other Human Resources Information System
Experience using DOMO or other business intelligence tool
