Job Description

This contract-to-hire opportunity is ideal for someone who enjoys variety in their day, takes ownership of their work, and wants to learn the business side of commercial real estate. You'll play a critical role in keeping the office running smoothly while supporting tenant communications, lease administration, accounts payable, and accounts receivable functions.

Job Responsibility

  • Be the Hub of the Office
  • Serve as the first point of contact for tenants, vendors, and visitors
  • Answer phones and provide exceptional customer service
  • Open and distribute mail
  • Maintain organized files and documentation
  • Help keep the office running efficiently day-to-day
  • Support Accounting & Financial Operations
  • Process invoices and assist with accounts payable
  • Prepare deposits and support cash receipt processing
  • Manage tenant receivables and monitor account balances
  • Send payment reminders and assist with collections communications
  • Support annual reconciliations and expense recoveries
  • Manage Lease & Tenant Administration
  • Review commercial lease agreements and understand key lease terms
  • Track rent increases, renewal options, and important lease dates
  • Assist with tenant billing and lease-related communications
  • Support Common Area Maintenance (CAM) reconciliations and annual tenant charge-backs
  • Coordinate closely with team members to ensure tenants are billed accurately and consistently

Requirements

  • Administrative, bookkeeping, office support, property management, or related experience
  • Ability to read and understand contracts or lease agreements
  • Strong attention to detail and organizational skills
  • Excellent communication and customer service abilities
  • Self-starter mentality with a willingness to take initiative
  • Team-player attitude with a pitch in where needed mindset
  • Accounts payable and accounts receivable
  • Commercial real estate or property management
  • Lease administration or tenant billing
  • Bookkeeping and financial recordkeeping
  • Reconciliations and reporting support
  • Basic Microsoft Excel skills, including spreadsheets, simple formulas, and tracking information
  • Comfortable learning new software systems
  • Experience with accounting or property management software is a plus
