We are looking for an Office Services Associate to oversee daily workplace support in a quiet satellite office in California. This Long-term Contract position is ideal for someone who can work independently, keep shared spaces organized, and provide dependable service across office operations. The role will center on meeting space readiness, supply coordination, and incoming mail support while helping maintain a well-organized environment for onsite staff and visitors.
Job Responsibility
Prepare conference rooms for meetings, ensuring spaces are clean, organized, and fully equipped for daily use
Monitor inventory levels and replenish office and kitchen supplies to keep the workplace stocked and functional
Receive, sort, and distribute incoming mail and packages, while coordinating outgoing shipments as needed
Support multiple office service needs across the site, serving as the primary on-location resource for day-to-day operations
Maintain orderly common areas and help uphold a neat office appearance throughout the workday
Respond to changing activity levels when meetings are scheduled, including increased room support for visiting attorneys and guests
Handle document scanning and related administrative tasks to support office workflows and records management
Requirements
Prior experience in office services, mailroom support, administrative operations, or a similar workplace services role
Ability to work independently and manage a one-person site with limited onsite supervision
Experience with document scanning and general records handling
Familiarity with mail and package processing in a detail-focused office setting
Comfortable supporting conference room setup and maintaining stocked, organized office areas
Ability to answer and route calls using a multi-line phone system
Strong organizational skills, reliability, and a service-oriented approach to daily tasks
