We are looking for a dependable Office Services Associate to support essential workplace operations for a client team in Redwood City, California. This Contract position focuses on delivering high-quality back-office assistance across document handling, mail distribution, and front-of-house service needs. The ideal candidate will help maintain smooth daily workflows in both physical and digital office environments while providing responsive support across multiple service areas.
Job Responsibility:
Manage incoming and outgoing mail, packages, and interoffice deliveries to keep distribution timely and accurate
Operate scanning, copying, and reprographics equipment to produce, digitize, and organize business documents with attention to detail
Provide document support services by preparing files, handling print requests, and maintaining orderly records in both paper and electronic formats
Answer and direct calls on a multi-line phone system in a detail-oriented manner while assisting with general front-desk or reception-related needs
Support meeting and hospitality functions by helping prepare shared spaces and coordinating basic office service requests
Assist with audio/visual setup for meetings and presentations to ensure rooms are ready for use
Monitor office service areas and equipment, reporting issues and helping maintain a clean, efficient workspace
Contribute to additional administrative or operational service tasks as needed to support daily client and team requirements
Requirements:
Experience handling document scanning, digital file processing, and high-volume copying tasks in an office or service environment
Working knowledge of mailroom operations, including sorting, distributing, and tracking incoming and outgoing items
Ability to answer and route calls using a multi-line phone system with professionalism and accuracy
Strong organizational skills with careful attention to detail when managing documents and service requests
Comfortable working across both physical and digital workflows while adapting to changing daily priorities
Ability to provide dependable customer service and collaborate effectively with office staff, clients, and visitors
Basic familiarity with office equipment such as scanners, copiers, printers, and related support technology
