We are looking for a detail-oriented Office Services Associate to join our team on a contract basis in Boston, Massachusetts. In this role, you will manage day-to-day office operations, ensuring all supplies, inventory, and mail services are handled efficiently across a multi-floor environment. This position requires excellent organizational skills, the ability to multitask, and a proactive approach to supporting office functionality.
Job Responsibility:
Monitor and replenish inventory for snacks, beverages, and office supplies across 22 floors
Oversee the organization and operations of two distribution rooms, including shipping and receiving tasks
Handle light inter-office mail distribution and coordinate FedEx shipments
Manage coffee stations, dishware, and related supplies to ensure availability
Maintain copy rooms by restocking office supplies and keeping them organized
Conduct regular inventory checks and promptly address any shortages
Assist with clerical duties such as scanning documents and filing
Answer inbound calls and provide receptionist support as needed
Ensure timely delivery of services to support overall office operations
Requirements:
Minimum of 3 years of experience in office or administrative support roles
Strong organizational and multitasking abilities
Proficiency in handling clerical tasks including scanning and document management
Excellent communication skills for answering calls and coordinating services
Familiarity with inventory management and replenishment processes
Ability to work in a fast-paced, multi-floor environment
Experience with mail handling and shipping services
Knowledge of basic office equipment and supplies management
