We are looking for an Office Services Associate to support daily workplace operations in New York, New York. This Long-term Contract position is ideal for someone who enjoys delivering hands-on office, print, and facilities support while creating a seamless and responsive experience for internal and client-facing teams. The role combines reprographics expertise, service coordination, and administrative support to help maintain an organized, efficient, and well-run office environment.
Job Responsibility:
Deliver day-to-day office support with a strong focus on document production, including printing, copying, scanning, binding, finishing, and distribution
Run high-volume print and copy equipment, resolve routine equipment issues, and coordinate service when repairs or maintenance are needed
Complete complex document requests accurately and on time, including confidential materials, large production runs, and urgent assignments
Review finished materials for quality, formatting, completeness, and visual presentation before delivery
Oversee mailroom-related activities such as incoming and outgoing mail, courier coordination, package handling, and shipping logistics
Prepare conference rooms for meetings by arranging room setup, organizing presentation materials, and coordinating catering support as needed
Respond promptly to workplace and service requests, ensuring tasks are tracked, prioritized, and completed with a customer-focused approach
Assist with document layout, file preparation, and adherence to branding standards to ensure consistent and high-quality output
Support electronic document handling processes, including scanning and digital distribution of files to appropriate recipients
Requirements:
Experience providing office services, copy center, mailroom, or reprographics support in a detail-oriented workplace setting
Ability to operate high-volume printers, copiers, scanners, and finishing equipment with confidence and attention to detail
Working knowledge of document preparation, formatting, basic layout adjustments, and print production standards
Strong troubleshooting skills for resolving routine equipment and workflow issues efficiently
Familiarity with shipping, courier services, materials handling, and outgoing mail coordination
Ability to manage multiple priorities, including time-sensitive requests, without compromising accuracy or service quality
Strong communication skills and a customer-service mindset suited to a client-facing office environment
Comfortable supporting meetings, conference room readiness, and presentation material preparation
