Job Responsibility:
Serve as the first point of contact for visitors, ensuring a professional and welcoming environment
Greet guests, support onsite interviews, and provide office tours for new hires and visitors
Manage incoming and outgoing mail, packages, and deliveries
Monitor and replenish office supplies, kitchen inventory, and workplace resources
Assist in maintaining a clean, organized, and fully functional office environment
Support scheduling and logistics for internal meetings and interviews
Assist in planning and executing team events, company celebrations, and onsite programs
Respond to calls and emails on behalf of the operations team
Coordinate with internal stakeholders and external vendors to ensure timely execution of projects
Maintain shared calendars and scheduling systems for internal visibility
Prepare onboarding materials, workspace setups, and Day 1 logistics for new employees
Set up workstations, including equipment and necessary tools
Support employee engagement initiatives and contribute to a positive company culture
Provide general administrative assistance and support special projects as needed
Requirements:
1–2 years of experience in office coordination, administrative support, or operations (internships welcome)
Strong organizational skills with excellent attention to detail
A proactive, positive attitude with a strong customer-service mindset
Ability to manage multiple priorities in a fast-paced environment
High school diploma required
Associate’s or Bachelor’s degree preferred
Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
Familiarity with workplace tools such as Zoom, Microsoft Teams, and ticketing systems
Strong written and verbal communication skills
Ability to work both independently and collaboratively across teams
Nice to have:
Event coordination or project support experience is a plus
