ZT Systems is seeking an Office Operations Assistant to coordinate, maintain, and manage general office duties to achieve maximum efficiency of daily operations. As an Office Operations Assistant, you will also provide office support services, including purchasing and facilities management for all ZT Systems locations.
Job Responsibility:
Coordinate, maintain, and manage general office duties to achieve maximum efficiency of daily operations
Coordinate regular building safety checks and maintenance of the overall office building and equipment
Purchase and monitor the usage of internal office supplies for various departments including Warehouse and Production
Maintain records, documentation, and filing systems
Coordinate office projects as assigned
Perform all other tasks as needed in support of the buildings/office operations team
Book/manage conference rooms and change meeting rooms if needed
Work with other administrative staff to coordinate meetings, transportation, and lunches
Process CAP EX and Invoice through the SAP system
Follow up with Vendor for payment and other issues
First line of response to customer issues
Route Docusign for office approvals
Maintain vendor relations and coordinate suppliers related to the office functions
Provide backup coverage for front desk as needed
Requirements:
High school diploma
3+ years of office management experience
Excellent verbal, written, and interpersonal communication skills, with a professional and customer-focused demeanor in person and on the phone
Strong organizational, time-management, and multitasking skills with the ability to prioritize work in a fast-paced environment
Proficiency with Microsoft Office applications, especially Word, Outlook, Excel, SAP, and DocuSign
Professional, dependable, and punctual, with high integrity, strong work ethic, and a professional appearance
Customer service skills with the ability to interact professionally and effectively with employees and customers
Ability to work both independently and collaboratively with cross-functional teams
Flexible and adaptable, with the ability to work a flexible schedule
Resourceful and proactive in addressing issues as they arise
