A highly respected infrastructure investment and asset management business is seeking an experienced Office Manager to take ownership of their London office operations. This is a pivotal, hands-on role supporting a team of approximately 35-40 staff, ensuring a professional, efficient, and compliant workplace environment. Reporting into the CFO, you will take full responsibility for the day-to-day running of the office, acting as the central point of contact across workplace operations, suppliers, IT, and compliance.
Job Responsibility
Oversee daily office operations, ensuring a professional and well-run environment
Act as the main point of contact for all workplace matters
Manage office logistics including supplies, meeting rooms, and deliveries
Support onboarding and offboarding (workspace setup, access, equipment)
Drive improvements in processes, efficiency, and employee experience
Coordinate meetings and logistics for the Supervisory Board
Organise committee meetings and Director sessions
Collate and distribute board materials
Track and follow up on key actions
Liaise with the serviced office provider and building management team
Coordinate maintenance, cleaning, access, and facilities requests
Manage relationships with external suppliers
Track service levels and escalate issues where needed
Support cost tracking alongside the CFO
Own and manage the SharePoint system
Maintain structure, permissions, and document governance
Support staff with usage and adoption
Ensure documentation is up to date, accessible, and audit-ready
Manage workplace H&S compliance and processes
Maintain risk assessments, incident logs, and emergency procedures
Coordinate fire safety and evacuation processes
Oversee first aid provision and safety equipment
Ensure staff awareness and compliance
Act as liaison with the IT support provider
Coordinate onboarding/offboarding IT requirements
Monitor IT service levels and resolve issues
Maintain asset registers and workplace tech functionality
Support cyber security audits and compliance
Manage mandatory compliance training
Track completion, reporting, and follow-ups
Maintain training records and audit readiness
Promote strong compliance culture across the business
Requirements
Proven experience in an Office Manager, Workplace Coordinator, or similar role
Strong organisational skills with the ability to manage multiple priorities
Confident communicator with excellent stakeholder management skills
Experience managing external suppliers and service providers
Familiarity with SharePoint or document management systems
Good understanding of Health & Safety and workplace compliance
Proactive, detail-oriented, and solutions-focused
Comfortable in a fast-paced, evolving environment
