We are looking for an organized and detail-oriented Office Manager to oversee administrative operations in Minnetonka, Minnesota. This long-term contract position requires someone with strong multitasking abilities, exceptional communication skills, and a proactive approach to managing office functions. You will play a vital role in ensuring smooth day-to-day activities, including financial tasks, project coordination, and maintaining office efficiency.
Job Responsibility:
Manage construction billing processes and ensure accuracy in financial documentation
Handle payroll tasks using QuickBooks, maintaining compliance with company standards
Process invoices promptly and coordinate with vendors as needed
Oversee project management efforts, ensuring deadlines and deliverables are met
Utilize basic Excel skills to organize and analyze data effectively
Perform receptionist duties such as answering calls and greeting visitors
Maintain and order office supplies to support daily operations
Ensure accounts payable processes are completed accurately and on time
Develop and implement administrative procedures to enhance office efficiency
Requirements:
Proven experience in administrative office management or a similar role
Proficiency in QuickBooks for payroll and financial management
Familiarity with construction billing practices is highly desirable
Strong organizational skills and attention to detail
Basic knowledge of Excel for data entry and analysis
Ability to handle accounts payable tasks efficiently
Excellent communication and interpersonal skills
Capability to manage multiple tasks and prioritize effectively in a fast-paced environment
