We are looking for an experienced Office Manager to support the daily operations of a busy CPA firm in California. This contract-to-permanent opportunity is ideal for someone who thrives in a detail-focused accounting environment and can keep administrative, client-facing, and operational activities running smoothly. The role calls for strong judgment, attention to detail, and the ability to coordinate multiple priorities while supporting accounting and tax staff.
Job Responsibility
Direct daily office operations to ensure administrative processes, front-office activity, and internal support functions run efficiently
Partner with firm leadership and staff to organize workloads, maintain schedules, and keep priorities on track across the office
Coordinate calendars, meetings, and client correspondence while promoting a responsive experience
Monitor administrative timelines tied to tax and accounting cycles, helping the team stay organized around key deadlines
Maintain accurate client files, engagement documents, and recordkeeping systems with a high level of confidentiality
Support billing activities by preparing invoices, tracking receivables, and following up on outstanding balances as needed
Oversee office vendors, supply ordering, and facility needs to maintain a well-functioning workplace
Assist with onboarding coordination and other routine human resources administrative tasks
Identify opportunities to streamline office procedures and improve overall administrative efficiency
Requirements
At least 5 years of office management experience, including prior work within a CPA firm, public accounting environment, or similar services setting
Practical knowledge of how accounting and tax practices operate, including administrative support for deadline-driven workflows
Proficiency with Microsoft Office applications and comfort learning or using firm management software
Experience with tools such as QuickBooks, Lacerte, UltraTax, or comparable accounting and tax platforms is preferred
Strong organizational skills with the ability to manage multiple responsibilities in a fast-paced office
Clear written and verbal communication skills with a strong client service mindset
Ability to work independently, handle sensitive information discreetly, and maintain accuracy under pressure
Nice to have
