Job Description

We are looking for a dedicated and detail-oriented Office Manager to join our team in Pacific, WA. In this role, you will oversee essential office operations, including bookkeeping, payroll, human resources, and contract administration. This is a fantastic opportunity to contribute to an established company while managing various financial and administrative functions.

Job Responsibility

  • Supervise administrative staff, ensuring smooth and efficient day‑to‑day operations of a two‑person front office
  • Maintain accurate bookkeeping records, including the general ledger, balance sheet, and profit and loss statements
  • Prepare and file monthly sales tax reports and support year‑end tax compilation activities
  • Manage accounts payable and receivable, including contract and work‑order billing as well as vendor payments
  • Oversee payroll processing for both weekly and bi‑weekly schedules, ensuring compliance with prevailing wage and union reporting requirements
  • Administer installation and maintenance contracts through cloud‑based construction platforms such as Textura, Procore, and GCPay
  • Manage medical and general liability insurance programs, ensuring proper documentation and regulatory compliance
  • Oversee employee benefits administration, onboarding, training, certifications, and ongoing operational compliance
  • Leverage advanced Excel capabilities, including macro‑driven spreadsheets, for reporting and data management

Requirements

  • Demonstrated experience in bookkeeping, including general ledger maintenance and financial reporting
  • Working knowledge of payroll processes, including certified payroll and prevailing wage documentation
  • Strong understanding of accounts payable and accounts receivable functions
  • Construction or contracting industry experience strongly preferred
  • Proficiency with accounting and construction software such as QuickBooks and cloud‑based platforms
  • Solid experience with human resources administration, including employee benefits and regulatory compliance
  • Advanced Excel skills for data analysis, reporting, and tracking
  • Strong organizational and communication skills with the ability to manage multiple priorities effectively
