We are looking for an organized Office Manager to support daily administrative and operational functions for a property-based office in Millington, Tennessee. This contract-to-permanent opportunity is ideal for someone who can balance resident-facing service and office coordination responsibilities. Job Responsibility
Direct day-to-day office activities, including front desk coverage, administrative workflow, and coordination of general business operations
Handle resident applications and supporting documentation, confirm eligibility, and assist with occupancy changes such as move-ins, transfers, move-outs, and annual renewals
Maintain organized and accurate tenant files, financial records, ledgers, reporting data, and other required office documentation
Manage rent-related transactions by posting charges, tracking payments, following up on outstanding balances, and processing account updates when needed
Prepare routine and special-purpose paperwork such as payroll support, invoices, payable records, tax-related documents, reports, and materials for legal or court matters
Oversee office systems and supplies by monitoring inventory, maintaining filing structures, and ensuring equipment and administrative procedures support efficient operations
Serve as a primary point of contact for residents, vendors, contractors, and external partners by providing clear communication and responsive customer service
Complete property walk-throughs and document service requests, maintenance needs, and related work order information as required
Create and distribute written communications for residents, including notices, newsletters, flyers, and other correspondence
Support office technology needs by assisting with software use, resolving basic system issues, coordinating updates, and helping team members adapt to tools and processes
Requirements
Experience in leasing or property management
Strong verbal and written communication skills, with the ability to stay organized and manage multiple priorities effectively
Proficiency with Microsoft Office and other standard workplace software used for documentation, reporting, and communication
Working knowledge of office support tasks, spreadsheets, databases, and accurate record maintenance
Ability to handle sensitive information with discretion and work independently in a changing environment
Previous experience in property management, housing administration, or compliance-driven office settings is preferred
Ability to visit property areas as needed while maintaining a thorough and service-oriented approach
