We are looking for a skilled Office Manager to join our team on a contract basis in Riviera Beach, Florida. In this role, you will oversee administrative and operational tasks, including service scheduling, job management, and billing functions. This position requires excellent organizational abilities and attention to detail to ensure smooth operations and customer satisfaction.
Job Responsibility:
Coordinate and schedule service appointments while managing technician dispatching
Respond to incoming calls and direct them to the appropriate team members
Open, organize, and close service jobs, ensuring job files and calendars are accurately maintained
Verify technician timesheets for accuracy and completeness
Prepare, finalize, and post service invoices promptly
Reconcile job costs, process progress billings, and apply customer payments accurately
Maintain detailed customer account information, including discounts and tax exemptions
Investigate and resolve billing discrepancies or payment issues efficiently
Requirements:
Proven experience in service coordination, billing, or accounts receivable
Familiarity with the construction industry is advantageous
Proficiency in Computer Ease, BuildOps, and/or NetSuite is a plus
Exceptional organizational skills and keen attention to detail
Strong knowledge of accounts receivable procedures and billing functions
Experience in commercial collections and cash applications
Ability to manage cash activity efficiently and accurately
Nice to have:
Familiarity with the construction industry is advantageous
Proficiency in Computer Ease, BuildOps, and/or NetSuite is a plus
