Job Description:

Robert Half is working with a well-established tax firm seeking a proactive and detail-oriented Office Manager to oversee daily operations and administrative functions. This key role ensures the firm runs smoothly during tax season and beyond by supporting both clients and internal staff. Ideal candidates will have prior experience in professional services environments, strong organizational skills, and a customer-focused mindset.

Job Responsibility:

  • Manage day-to-day office operations, ensuring an efficient and professional work environment
  • supervise administrative staff and oversee scheduling, task delegation, and performance support
  • serve as the first point of contact for clients—answering calls, greeting visitors, and responding to inquiries
  • coordinate the preparation, intake, and secure handling of client tax documents
  • monitor and manage office supplies, equipment maintenance, and vendor relationships
  • assist with billing, invoicing, and payment tracking using firm software
  • maintain confidentiality and security of client information in accordance with compliance standards
  • provide executive administrative support to firm partners, including calendar management and travel coordination
  • track deadlines and ensure accurate filing of tax forms and client documents
  • help onboard new employees and support seasonal staff during peak tax periods

Requirements:

  • 3+ years of office management or senior administrative experience, preferably in a tax, legal, or professional services setting
  • familiarity with tax-related processes and deadlines is a plus
  • excellent organizational, communication, and interpersonal skills
  • strong proficiency in Microsoft Office (Excel, Word, Outlook)
  • QuickBooks or tax software (e.g., Lacerte, UltraTax) experience preferred
  • proven ability to multitask, prioritize responsibilities, and work under pressure during busy seasons
  • high level of professionalism and discretion with sensitive information
  • Associate's or Bachelor's degree in Business Administration or a related field preferred
