We're looking for a proactive, detail-oriented Office Manager to keep our operations running seamlessly. In this dynamic role, you'll be the heart of our office-balancing smooth administration, facilities management, and HR support.
Job Responsibility:
Oversee day-to-day operations: supplies, equipment, budgets, and vendors
Manage diaries, meetings, travel, and correspondence
Be the main contact for visitors, clients, and suppliers
Act as the 24-hour contact for urgent facilities matters
Improve office processes to enhance efficiency
Oversee all building systems (HVAC, plumbing, electrical, security, fire safety)
Ensure high standards of cleanliness and hygiene
Manage contractors, service providers, and facilities staff
Handle maintenance schedules, inspections, repairs, and upgrades
Promote sustainability and energy-saving measures
Serve as the main health and safety contact
Review risk assessments and maintain compliance
Organise training, fire drills, and mental health first aid
Keep policies, procedures, and records current
Lead, mentor, and develop the admin team
Allocate tasks and ensure smooth workflow
Run team meetings, reviews, and training sessions
Foster a positive and collaborative culture
Assist with recruitment and interview scheduling
Support onboarding and induction processes
Maintain employee records and HR documentation
Be a point of contact for HR queries and guidance
Requirements:
Strong organisational and time management skills
Clear, confident written and verbal communication
Proficient in Microsoft Office (Word, Excel, PowerPoint)
Familiar with HR software and databases
High level of accuracy and attention to detail
Able to handle sensitive information with discretion
