Job Responsibility
Support office operations, leadership teams, and daily administrative functions
Coordinate meetings, trainings, team events, and office logistics
Assist with scheduling, travel arrangements, and calendar management
Handle vendor communication, invoice processing, and expense tracking
Support onboarding logistics for new hires and interns
Maintain office supplies, kitchen inventory, and general workspace organization
Prepare reports, presentations, meeting materials, and leadership documents
Assist with project coordination, process improvements, and workflow tracking
Provide reception and customer service support as needed
Manage confidential and sensitive information with professionalism
Requirements
3+ years of administrative, office coordination, or executive support experience
Strong organizational and multitasking abilities
Experience supporting multiple managers or departments simultaneously
High attention to detail and strong follow-through skills
Proficiency with Microsoft Office Suite, Teams, SharePoint, and Excel
Excellent written and verbal communication skills
Ability to work in fast-paced environments and prioritize changing deadlines
Professional, team-oriented, and customer-service focused mindset
Nice to have
Experience supporting construction, operations, field teams, or project-based environments
Experience with invoicing, expense tracking, or accounting support
Exposure to Power BI, Visio, or reporting tools
