We’re looking for a highly organised and service-minded Office Manager to keep our workplace running smoothly and create an exceptional experience for everyone who walks through our doors. This role is at the heart of our Stockholm office (HQ). You’ll oversee daily operations, ensure our workspace is functional, welcoming, and efficient, and play a key role in shaping the employee experience. From managing facilities and suppliers to supporting safety compliance and office culture, you’ll be the go-to person who keeps everything on track.
Job Responsibility:
Deliver a high-quality, personalised experience for employees and visitors
Ensure the office is clean, safe, and well-maintained at all times
Manage office supplies, inventory, and day-to-day administration
Coordinate meeting rooms, bookings, and incoming/outgoing package deliveries
Lead front desk operations and handle employee queries
Support onboarding with workplace orientations and office updates
Coordinate repairs, maintenance, and office improvements
Manage contractors and ensure work is completed to a high standard
Maintain relationships with landlords and support lease administration
Plan refurbishments, reconstructions, and office layout changes
Optimise workspace, storage, and furniture planning
Manage key fobs, restricted areas, and respond to alarms during office hours
In collaboration with HR, conduct fire safety protocols: SBA checks, evacuation drills, training, and documentation
Coordinate emergency preparedness, risk assessments, crisis management, and safety procedures in the HQ office
In collaboration with HR, ensure systematic work environment management (SAM) and continuous safety improvements
Support management of suppliers (cleaning, security, catering, maintenance)
Assist with contract coordination and service quality oversight
Handle invoicing, coding, and timely payments
Assist with budgeting, forecasting, and cost tracking
Identify cost-saving opportunities and efficiency improvements
Support procurement of office supplies and services
Help deliver projects on time and within budget
Requirements:
Proven experience in an office management or administrative role
