We are looking for an experienced Office Manager to oversee administrative operations and accounting functions for a dynamic organization. This role requires a versatile, detail-oriented individual who can manage office activities, handle HR tasks, and ensure financial processes run smoothly. As a Contract to permanent position, this opportunity offers the potential for long-term growth and stability.
Job Responsibility:
Manage daily office operations, including mail processing, filing, and organizing outgoing correspondence
Coordinate vending and janitorial services, ensuring quality and consistency
Maintain accurate and up-to-date employee records, including performance-related documentation
Handle onboarding and termination paperwork, conducting orientations and exit processes
Administer payroll processes, including printing checks, reconciling amounts, and completing quarterly tax filings
Perform accounts payable and receivable tasks, such as printing checks, managing collections, and approving new customer accounts
Prepare and reconcile monthly financial statements, ensuring accuracy and balance
Oversee general ledger postings and verify account balances as assigned
Manage cash receipts, daily reconciliations, and bank deposits
Create and distribute monthly reports for board members and other stakeholders
Requirements:
Minimum of 3 years of experience in office management or a related administrative role
Proficiency in HR administration, including hiring, termination, and employee recordkeeping
Strong knowledge of payroll processes and quarterly tax filings
Experience with accounts receivable and accounts payable functions
Ability to prepare financial statements and perform general ledger postings
Excellent organizational skills and attention to detail
Strong communication skills to interact professionally with employees and stakeholders
Proficiency in using office software and systems for administrative and accounting tasks
