We are looking for an experienced Office Manager to join our team in Prescott, Arizona, on a long-term contract to hire basis. This role is ideal for someone who thrives in a dynamic environment and is passionate about optimizing office operations and systems. You'll play a key role in ensuring the smooth functioning of our office while driving efficiency and supporting team collaboration.
Job Responsibility:
Design and implement office systems, policies, and procedures to improve overall operational efficiency
Manage office services, including correspondence, filing systems, supply requisitions, and clerical assignments
Monitor billing, collections, and assist in monthly accounting close processes
Coordinate follow-ups with potential clients during the sales cycle and oversee related administrative tasks
Serve as the primary point of contact for office matters such as bills, mailings, supplies, and errands
Collaborate with IT and vendors to maintain and procure office equipment, software, and network systems
Assign and oversee administrative tasks among office staff to ensure productivity and accountability
Manage schedules, calendars, and appointments for the owner and staff
Recruit, onboard, and train new employees to ensure seamless integration into the team
Handle customer inquiries and complaints professionally while maintaining a positive work environment
Requirements:
Associate or Bachelor's degree, or equivalent experience, preferably in a finance, insurance, accounting, or legal office setting
Excellent written and verbal communication skills
Exceptional attention to detail and organizational skills
Familiarity with accounting functions, accounts payable (AP), and accounts receivable (AR)
Proficiency in Microsoft Office Excel
Ability to manage multiple priorities effectively in a fast-paced environment
