A small, local CPA firm is seeking a highly organized and detail‑oriented Office Manager to support daily operations and ensure the office runs smoothly. This role provides administrative support to leadership and staff while also assisting with light bookkeeping tasks as needed. The ideal candidate is proactive, reliable, and comfortable working in a fast‑paced, client‑focused environment.
Job Responsibility:
Manage day‑to‑day office operations, including supplies, mail, scheduling, and general upkeep
Serve as the first point of contact for clients: answer phones, greet visitors, and route inquiries
Maintain organized electronic and physical filing systems
Coordinate meetings, staff calendars, and office communications
Support onboarding for new employees, including workspace setup and access permissions
Assist partners and staff with administrative duties, document preparation, and project coordination
Manage vendor relationships, office equipment, and service providers
Assist with data entry into accounting systems
Perform basic bookkeeping tasks such as A/P, A/R, and bank reconciliations as needed
Help prepare client packets, financial documents, and reports
Support year‑end and tax‑season administrative workflows, including scanning, organizing, and tracking documents
Requirements:
2–3+ years of office management, administrative support, or similar experience
Strong organizational skills with the ability to manage multiple tasks and deadlines
Proficiency with Microsoft Office (Excel, Word, Outlook)
Excellent communication and customer‑service skills
Ability to handle confidential information with discretion
Basic understanding of bookkeeping or prior bookkeeping experience
Familiarity with accounting software (e.g., QuickBooks)
Experience assisting with A/P, A/R, or bank reconciliations
Nice to have:
Experience working in a public accounting firm or other professional services environment
