We are looking for a highly organized and detail-oriented Office Manager to support our team during the busy tax season. Located in Elmhurst, Illinois, this long-term contract role plays a crucial part in maintaining efficient office operations and delivering exceptional service to clients. The position requires strong multitasking abilities and a proactive approach to managing administrative tasks.
Job Responsibility:
Answer incoming phone calls in an attentive and timely manner, ensuring excellent client communication
Coordinate schedules and manage calendars for executives using Microsoft Outlook, including arranging client appointments
Accurately scan, upload, and organize documents within the Document Management System
Assemble finalized tax returns and prepare them for delivery to clients, either via mail or electronically
Create and distribute electronic copies of tax returns to clients as needed
Maintain office supplies by monitoring inventory levels and placing orders as required
Process accounts payable tasks, ensuring accurate and timely payments
Perform receptionist duties, including greeting visitors and handling inquiries
Ensure the office environment remains organized and efficient, supporting daily operations
Requirements:
Strong verbal and written communication skills, essential for client interactions and detail-oriented correspondence
Proficiency in Microsoft Outlook and other general office software
Exceptional organizational skills and attention to detail
Ability to handle multiple tasks effectively in a fast-paced environment
Previous experience in an administrative or office support role
experience in tax or financial services is an advantage
Familiarity with document management systems and handling sensitive information
Ability to work independently while maintaining a collaborative team spirit
Knowledge of accounts payable processes and general office supply management
