We are looking for a dedicated Office Manager to join our team on a contract basis in Boston, Massachusetts. In this role, you will oversee front desk operations, administrative duties, and office safety initiatives, ensuring a seamless and well-organized environment for staff and visitors. This position requires strong organizational skills, attention to detail, and the ability to support a variety of office functions efficiently.
Job Responsibility:
Greet visitors and staff, fostering a welcoming atmosphere while monitoring the front entrance
Maintain the cleanliness and organization of communal spaces, conference rooms, and supply areas
Manage incoming and outgoing mail, packages, and deliveries, ensuring timely distribution
Schedule meetings, coordinate catering, and assist with event planning as needed
Provide administrative support for employee orientation and related onboarding activities
Track office inventory and oversee the loaner equipment program
Collaborate with the Office Manager to analyze office metrics and purchasing trends
Assist with resolving office equipment issues, including troubleshooting conference room AV systems
Support corporate policies related to office safety by maintaining filing systems and assisting with inspections
Act as a resource for health and safety practices, including distributing personal protective equipment
Requirements:
Proven experience in administrative assistance or office management roles
Proficiency in Microsoft Office Suite, including Excel, Outlook, and Word
Ability to handle multi-line phone systems and provide concierge-style customer service
Strong interpersonal skills with the ability to communicate effectively with staff and visitors
Exceptional organizational abilities and attention to detail
Competence in data entry and file organization
Clearance is required prior to onboarding
Nice to have:
Familiarity with office safety standards and procedures is a plus
